As inspection volumes grew, the company's reliance on manual scheduling, separate tools per team, and paper-based field workflows made it increasingly difficult to scale. Administrators, inspectors, agents, and homeowners were all working out of different systems with no shared visibility. The goal was a single platform that unified every stage of the inspection lifecycle without requiring a fundamental change to how the business operated.

We recommended a single, role-aware web platform rather than integrating the existing disconnected tools, because the toolset itself was the problem. A unified platform meant every party (administrator, inspector, agent, homeowner) works from the same system of record, with access and permissions tailored to exactly what their role requires. Built on Laravel for rapid, maintainable development, the architecture was modular by design so the business could keep adding inspection types, integrations, and user roles without another rebuild.

Property inspection management sits at the intersection of field operations, insurance compliance, and customer service. Each of those has its own timing pressures and accuracy requirements, and the manual systems holding them together were already at their limit before the build began.
A Scheduling Process That Didn't Scale
Assigning inspectors manually across multiple inspection types, dates, and locations worked at low volume and broke at higher volumes. Every rescheduled inspection or new inspector required manual coordination that a calendar-based system could handle automatically.
Paper and PDF Inspection Workflows
Field inspectors relied on physical forms or generic PDFs that had to be manually typed up, formatted, and delivered after the fact. Service-specific digital forms that auto-generate a finished report on completion fundamentally change how long that process takes.
Subscription Billing Run by Hand
The annual inspection membership programme had real recurring revenue potential that was being left partially unrealised by the overhead of manual billing management. Automating the full subscription lifecycle, from online sign-up through recurring payment to renewal, removed a meaningful administrative bottleneck.
No Self-Service for Homeowners or Agents
Insurance agents and homeowners had to contact the office to find out the status of an inspection or to get a copy of a report. Giving each party their own portal access reduced inbound contact volume and improved the experience for the people the business ultimately serves.
The platform was built domain by domain, starting with the inspection lifecycle core and expanding outward to scheduling, document management, subscriptions, and reporting. Each module was designed to work independently and compound in value as more of the operation moved onto the platform.
The platform serves four distinct user roles (administrators, inspectors, agents, and homeowners) from a single application, with permissions at each layer controlling exactly what each role can see, create, edit, and export. Role-based access was built into the data model from the start rather than added as a permission layer on top.

Off-the-shelf tools cover general workflows but rarely handle the combination of multi-type inspection management, subscription billing, role-specific portals, and third-party integrations a growing inspection business needs in one place. A custom build means the platform fits the operation rather than the operation fitting the platform, and the modular architecture means new capability can be added without switching tools again.
Each user role (administrator, inspector, agent, homeowner) accesses the same application but sees only what their role permits at the data and UI level. Permissions are enforced at the API layer, so access control can't be bypassed from the front end. Adding a new role or adjusting permissions for an existing one is a configuration change rather than a rebuild.
When an inspector opens an assigned job, the platform surfaces the correct form for each inspection type within that job automatically. For multi-service inspections, multiple forms are available within the same job record. Responses are saved progressively, and the PDF is generated from the completed form data without any manual formatting step.
Homeowners complete registration and payment through the platform, select monthly or annual billing, accept the subscription agreement, and their membership activates automatically on successful payment. Stripe manages the recurring billing cycle, sends receipts, and handles failed payment retries. Administrator reporting surfaces active subscriptions, payment history, and renewal status without any manual reconciliation.
Documents and images are stored in AWS S3, which scales independently of the application. The platform stores references to the S3 objects rather than the files themselves, so storage capacity is not a constraint on the application layer. New inspection types, user volumes, and document growth are all handled by the cloud storage layer without changes to the application.
